1. Existing-model samples are the fastest evaluation route
Use this route when the product architecture already fits your channel and the first decision is physical quality. Identify the model number, required firmness or feel, cover option, sample quantity, destination country and postal code. We then review availability and confirm the paid sample and shipping amount. The buyer can inspect dimensions, rebound, odor after sealed transport, cover fit, zipper and workmanship. A sample is only a valid bulk reference when its written specification is recorded; color, material, logo, packaging and acceptance details should not be inferred from a photograph alone.
2. Private-label adaptation needs artwork and packaging inputs
Private label usually keeps a proven foam core while changing visible brand touchpoints. Send vector logo artwork, target logo method, label content and language, cover preference, care label requirements, insert card, retail pack concept and outer-carton marks. If you do not yet have finished artwork, say so; the quotation can separate product sampling from later branded proofing. Fabric substitutions, printed packaging and special accessories can create material minimums that differ from the pillow MOQ. The sample plan should therefore state what will be represented exactly and what remains a production assumption.
3. Fully custom development begins with budget confirmation
A new contour, mold, modular structure or unusual assembly is not an existing-model sample. Before detailed engineering, send a dimensioned drawing, CAD file, reference sample or clear multi-angle images; describe the target user, use position, height, firmness, target weight, cover, expected order quantity, destination and launch timing. SensaRest uses approximately USD 1,000 as an early development-budget reference for some new structures, but complexity, tooling, material sourcing, prototype count and change requests can move the actual fee. We first ask whether this budget range is acceptable because detailed evaluation has little value when the commercial premise is not aligned.
4. An accurate quotation needs a controlled requirement list
To prepare an accurate quotation, confirm the product model or reference image, dimensions, foam density and firmness method, cover material, logo method, packaging, sample quantity, estimated bulk quantity, delivery country and postal code, and expected timeline. Also add target market, sales channel, target price range, annual demand and any evidence or label requirement. If important inputs are missing, SensaRest may provide a catalog, options or indicative range rather than a final unit price. This protects both parties from comparing prices for different products.
5. Sample timing starts after the scope is complete
A five-working-day target can be useful for a suitable existing or lightly adapted model, but it is not a blanket promise. The clock starts after the correct model, materials, payment, delivery details and required artwork are confirmed. New fabric, printed packaging, tooling, repeated changes, third-party testing, holidays or unavailable components extend the plan. We will distinguish preparation time from courier transit because international delivery is outside factory control. For urgent projects, state the required arrival date—not only the ship date—so feasibility can be reviewed honestly.
6. Evaluate the sample against written acceptance criteria
Before approving bulk production, record which measurements and observations matter: dimensions and tolerances, foam mass or density basis, firmness method, rebound behavior, cover fit, seam and zipper workmanship, logo placement, packaging recovery, odor expectations and any order-specific evidence. Evaluate the complete retail assembly after a realistic compression and recovery period when vacuum packaging is planned. Send consolidated feedback with photos and measured values. Multiple untracked messages create specification drift; one revision log makes the approved sample repeatable.
7. Sample-cost deduction is linked to a qualified bulk order
A possible deduction is discussed after the bulk model, quantity and commercial terms are clear. It is not a reason to submit an incomplete request or ask the factory to absorb international courier charges. Development, tooling, testing and third-party charges remain separate unless the quotation explicitly states otherwise. Buyers should compare total project cost—including product, packaging, validation, freight and risk—rather than using a free-sample promise as a supplier-selection shortcut. Clear terms create a better sample, a more accurate quotation and a more repeatable purchase order.
